How to schedule Looker reports using PMAN/SmartOCI. This document contains comprehensive details regarding Looker dashboard and looks (Report), along with information on the scheduling of reports.
There are two components that you can schedule
Dashboard Reports
To schedule a Report from the Dashboard:
- Navigate to the Analytics dashboard
- Click the 3 dots in the right hand menu of the Advanced Analytics panel
- Select “Schedule delivery”
- A pop-up window will open, allowing you to fill in the corresponding fields based on your requirements.
- Settings
- Schedule Name [Report Name]
- Recurrence [Frequency]
- Destination [If email is chosen, multiple email addresses can be added by comma separation]
- File Format
- Filters (Optional)
- Add any necessary filters to the report
- Add any necessary filters to the report
- Advanced Options (Optional)
- Custom Message
- Report options
- Page Size
- Delivery Timezone
- A pop-up window will open, allowing you to fill in the corresponding fields based on your requirements.
- Save
- Once the schedule is saved, you can:
- “Send Now” to test the report
- The report will be sent to ALL recipients that you set up on the “Settings” page.
- During testing, it is recommended you include only yourself to avoid sending test reports to your entire team unnecessarily.
- Add a New schedule for another report
- Edit report settings (3 dots will display menu options for the selected report)
- “Send Now” to test the report

Scheduled Report Limitations

- The email destination does not support sending CSV/PDF files larger than 25 MB in size.
- For larger reports, it is recommended to have the report set to AmazonS3, or SFTP
- By default, the CSV table data will only be sent with a limited number of rows, typically set to 500 rows.
- If the ideal report has a lot of data, you may need to run the report a couple of times with smaller time periods and then combine the exported reports.
- The email destination does not support sending CSV/PDF files larger than 25 MB in size.

Filtered Data Reports (Look)
From the Administrator or AP Manager Dashboards, you will see various report tiles, each tile (when hovered over) will have 3 dots in the upper right hand corner.
To access the data in these tiles click on the 3 dots to reveal a menu

- Download data
- View Look - This option will take you to another page where you can see and interact with the Look/Report.
- You have the option add/edit/remove filters by clicking on the Filter drop down at the top of the page.
- Download the report
- Save the report
- If you add/remove data you can create your own custom report
- View > Expanded
- Pops up a larger interactive view of selected tile
- Clear cache and refresh
